To create a customer record while processing a sale, open the Customers tab in POS. Enter the customer’s information, review the available customer and marketing options, and save the record so it can be used for the current and future transactions.
Accessing the Customers Tab
Select the Customers tab to create a new customer.
The fields on the left side of the screen are used to enter the new customer’s details.
Entering Customer Details
The customer’s First Name field is highlighted by default and receives the initial cursor focus. This indicates that the field should be completed first.
Enter the information you want to store against the customer record.
Understanding Mandatory Fields
Fields marked with a red asterisk are mandatory. These fields must be completed before a new customer record can be created.
The field highlighted by default and the fields marked as mandatory can be configured through the POS configuration settings.
Adding a Customer or Loyalty Number
Use the Customer Number field to enter a loyalty, VIP or membership card number for the customer. This field is optional.
You can manually enter the number. Alternatively, when using pre-printed loyalty cards, select the field and scan the barcode from the customer’s card.
The customer record will be linked to that card for future transactions.
Entering Country and Address Details
Select the country associated with the customer.
Changing the country updates the available address fields to reflect the address format used in that country. For example, the fields may display:
- Town or Suburb
- State or County
- Postcode or ZIP Code
The Postcode or ZIP Code field uses predictive search to help locate the required entry and match it with the corresponding suburb or town.
Selecting the Home Outlet and Customer Type
The Home Outlet associates the customer with a particular Outlet. This information is primarily used for marketing and reporting.
The Home Outlet defaults to the Outlet where the customer record is created, but it can be changed when required.
The Customer Type defaults to Retail. Additional customer types can be configured through the POS configuration settings.
Customer types help categorise customers and identify their sales in Back Office reports. For example, separate customer types could be used for:
- Retail customers
- Wholesale customers
- Employees
Sales can then be reviewed by customer type from the relevant Back Office sales report.
Managing Customer Marketing Preferences
The eNews option is selected by default and subscribes the customer to the mailing list.
Retail Express includes a newsletter production feature in Back Office that can be used to communicate with subscribed customers electronically.
The Facebook Like option can be used to email the customer a request to like the company’s Facebook page. The relevant Facebook settings are managed through the POS configuration settings.
Saving the New Customer
After entering the required information, select Save Above as New Customer.
Retail Express creates and saves the customer record in the database. The customer is also added to the current sale.
Reviewing and Updating the Customer Record
Retail Express automatically assigns a unique customer account number to the new record. This number can be used to identify the customer.
Customer details can be edited immediately or during a future transaction by updating the relevant fields.
As changes are made, an on-screen indicator shows that the information is being saved. The updated details are saved automatically to the Retail Cloud server.
Removing the Customer From the Sale
Select Clear Customer to remove the customer from the current transaction.
This removes the association between the customer and the sale. It does not delete the saved customer record.
Adding Delivery Addresses
Open the Delivery tab to add a delivery address for the customer.
Enter the required address details. Multiple delivery addresses can be recorded against the same customer when needed.
