Price Groups allow you to apply automatic pricing rules to selected customers. When a customer assigned to a Price Group is added to a sale, Retail Express calculates the applicable price automatically instead of requiring staff to enter the discount manually.
This video explains how to create percentage- or value-based Price Groups, assign them to customer accounts, and configure Fixed Price Groups when a particular customer should pay an exact price for a specific product.

Price Groups provide two ways to manage customer pricing. A standard Price Group calculates prices using a percentage or dollar adjustment, while a Fixed Price Group assigns an exact selling price to a particular product for selected customers.
Understanding Price Groups
A Price Group is an automatic customer-pricing rule.
It can be used when particular customers should receive special pricing through a loyalty program, staff discount or another customer arrangement.
The setup involves two stages:
- Create the pricing rule.
- Assign the Price Group to the relevant customer.
After the customer has been assigned to the group, Retail Express automatically applies the pricing rule when the customer is added to a sale.
Creating a Price Group
In Back Office, navigate to: Settings > Price Groups > Price Group
Existing Price Groups are displayed at the bottom of the page.
To create a new Price Group, enter a descriptive name in the fields at the top of the page.
For example, enter Staff Discount when creating a special pricing rule for staff purchases.
Enter the value to use in the calculation. For a 20% staff discount, enter 20.
Selecting a Price Calculation Rule
Select how Retail Express should calculate the customer price.
The available rule types are:
- Cost Price plus Percent Value: Adds the specified percentage to the product’s cost price.
- Cost Price plus Dollar Value: Adds the specified dollar amount to the product’s cost price.
- Sale Price minus Percent Value: Reduces the standard sale price by the specified percentage.
- Sale Price minus Dollar Value: Reduces the standard sale price by the specified dollar amount.
For example, to give staff 20% off the standard sale price, enter 20 and select Sale Price minus Percent Value.
Select Create.
Retail Express adds the new Price Group to the table at the bottom of the page.
Creating Another Price Group
You can create additional Price Groups using different calculation methods.
For example, an Exclusive Discount group could charge customers the product cost price plus $30.
To configure this rule:
- Enter Exclusive Discount as the group name.
- Enter 30 as the value.
- Select Cost Price plus Dollar Value.
- Select Create.
Customers assigned to this group will pay the product’s cost price plus $30.
Editing or Deleting a Price Group
Existing Price Groups can be changed when their names, values or calculation methods need to be updated.
Select the edit icon beside the required Price Group, make the changes and save the updated rule.
A Price Group can also be deleted using the delete option beside the group.
Assigning a Price Group to a Customer
After creating the Price Group, navigate to: CRM > Customers
Search for the customer using information such as:
- First name
- Last name
- Company name
- Customer number
Select Search, then open the required customer record from the results.
Scroll to the Price Group field in the lower-right section of the customer record.
Select the required Price Group from the drop-down menu, then select Save Changes.
Saving the customer record is required before the Price Group becomes effective.
Applying Standard Price Group Pricing
When the customer is added to a new sale in POS, Retail Express automatically applies the assigned Price Group.
A standard Price Group applies to every product added to the customer’s shopping cart. It is not restricted to a particular product.
For example, when a customer is assigned to the Exclusive Discount group, every product added to their sale is priced using the product’s cost price plus $30.
The pricing can also apply when the customer purchases through a connected online store.
Understanding Fixed Price Groups
A Fixed Price Group is used when a customer should pay an exact price for a particular product.
This differs from a standard Price Group, which calculates the price using a percentage or dollar adjustment.
For example, a standard Price Group could calculate:
- Cost price plus 20%
- Sale price less 20%
- Cost price plus $20
- Sale price less $20
A Fixed Price Group instead allows you to specify that selected customers will pay exactly $20 for a particular product.
Configuring a Fixed Price Group involves three stages:
- Create the Fixed Price Group.
- Enter the fixed price against the relevant product.
- Assign the Fixed Price Group to the customer.
Creating a Fixed Price Group
Navigate to: Settings > Price Groups > Price Groups Fixed
Existing Fixed Price Groups are displayed on the page.
Enter a name for the new group, such as Special Price, then select Insert.
Retail Express creates the Fixed Price Group. The individual product prices are configured separately.
Setting a Fixed Price Against a Product
Navigate to: Inventory > Product Search and Management
Search for the product that should have a fixed customer price.
Open the required product, then select the Pricing tab.
The Pricing tab displays the product’s standard selling price and the available Fixed Price Groups.
Locate the newly created group in the Fixed Price Group section.
Enter the exact price that customers assigned to the group should pay for the product.
For example, when a bicycle normally sells for $4,499 but selected customers should pay $3,000, enter 3000 against the Special Price group.
Select Save Changes.
The $3,000 price now applies to that particular product when it is purchased by a customer assigned to the Special Price group.
Assigning a Fixed Price Group to a Customer
Navigate to: CRM > Customers
Search for and open the required customer record.
Locate the Fixed Price Group field and select the required group, such as Special Price.
Select Save Changes.
The customer is now associated with the Fixed Price Group.
Applying the Fixed Price in POS
Create a new sale in POS and add the customer to the transaction.
When a product configured for that customer’s Fixed Price Group is added to the sale, Retail Express automatically replaces the standard selling price with the configured fixed price.
For example, when the bicycle configured with a $3,000 Special Price is added to the customer’s sale, its selling price automatically changes to exactly $3,000.
The fixed price applies only to products that have a value configured against the customer’s assigned Fixed Price Group.
