This article provides a step-by-step guide to recording Layby payments. A Layby at POS allows your customers to pay a deposit against a product and make incremental payments until the order is paid in full.

Understanding Layby Status
During the Layby transaction, there are two important and independent status areas. Until both sections have been completed in full the sale will not be considered completed at POS.
Sales Status |
Based specifically on the payment status of the sale.
- Before payment is made in full the Sales Status will be "Awaiting Payment" i.e. even if part-payment has been made the sale will remain as Awaiting Payment
- After payment has been made in full, the Sales Status will be updated to "Processed"
The Sales Status can be seen on the Invoice tab of a sale in POS (as well as on many reports within Retail Express).

Fulfilment Status |
Indicates whether products have been fulfilled (supplied to the customer). Each product on a sale can be fulfilled independently, which means a single sale may have varying levels of Fulfilment Status.
The Fulfilment Status can be viewed on the Fulfilment Tab of a sale (as well as the Fulfilment Report within Retail Express).

Adding a Layby Payment
If a sale is marked as Awaiting Payment, you can add additional payments to the sale until it's paid in full.
- Log into POS
- Click Look Up
- Enter your Login details
- Use the search functionality to find the transaction e.g. enter the Invoice Number

- Once you have located the correct sale click Open
- Click the Payment tab
- Enter a payment as normal

- Click Update
- A reminder will be displayed to check if any products have been provided to the customer
Tip: Fulfilment is important for updating your inventory levels, especially when taking the final payment and completing a Layby. Ensure you enter the correct quantity into the Given to Customer field.
- Click Proceed to Update to finish the sale (depending on your settings the Invoice window may be displayed)
