Retail Express provides several tools for managing products directly within a sale. You can quickly locate and add products, organise the product list, change quantities, update sale-specific details, review stock availability and remove products before completing the transaction.
In this video we show you how to manage your products within a sale in POS, including resorting the order of the products on the sale, and viewing detailed product information (image, inventory in other Outlets etc).

Adding Products to a Sale
To add a product to your sale, use the product search area at the top-left of the POS screen.
Enter enough information to identify the product. You can search using details such as the product description, Product ID, SKU or other identifying information.
Retail Express will display predictive search results that match the information entered.
You can use the arrow keys on your keyboard to move through the results and press Enter to make a selection. Alternatively, click the required product.
Once selected, the product is added to the current sale. The product quantity, price and sale totals are displayed in the product list.
Repeat this process to add any other products required for the sale.
Sorting Products
You can organise the products in the sale by clicking any of the column headings in the product list.
For example, products can be sorted using columns such as:
- PLU
- Description
- Size
- Colour
- Quantity
- Price
- Discount
- Total
This can make it easier to locate and review products when a sale contains a large number of items.
Changing Product Quantities
There are two ways to increase the quantity of a product already included in the sale.
The first method is to click the value in the Qty column and enter the required quantity.
The product line and sale totals will update to reflect the new quantity.
Alternatively, scan the product again or locate it through the PLU Scan or Search field. Adding the same product again can increase the quantity on the existing product line.
For Retail Express to combine repeated products into the same line, Aggregate Duplicate Order Items must be set to True in the Order Configuration settings.
When this setting is enabled, scanning or selecting the same product again increases its quantity instead of creating a separate product line.
Viewing Detailed Product Information
To view more information about a product, double-click its line in the centre of the POS screen.
The Edit Product screen will open.
The left side of the screen displays the product image and additional product information, which may include:
- Product ID
- SKU
- Product code
- Custom fields
- Brand
- Season
- Width
- Depth
- Length
- Core product status
The information available will depend on how the product has been configured in Retail Express.
Editing Product Details
The Edit Product screen also lets you change information for the selected product line.
You can update the product description. Any description entered here applies to the product in the current sale and does not permanently change the product record in Back Office.
You can also change:
- Quantity: The number of units included in the sale.
- Price: The selling price applied to each unit.
- Disc $: A fixed dollar discount.
- Disc %: A percentage discount.
- Tax: Whether tax applies to the product in this sale.
The Total field displays the combined value of the product line. When multiple units are included, the total reflects the quantity multiplied by the applicable price, less any discounts.
Retail Express recalculates the product total and tax when these values are changed.
Selecting a Fulfilment Method
The Fulfilment section controls how the product will be supplied to the customer.
Available options may include:
- Cash & Carry
- Layby & Pickup
- Delivery
- Warehouse Pickup
Select the method that reflects how the customer will receive the product.
Reviewing Stock and Selecting Locations
The Sourcing section displays stock information for the product across available Outlets.
The table can show:
- Available: The quantity currently available for sale.
- On Hand: The recorded stock quantity at the Outlet.
- On Order: Stock that has been ordered but has not yet been received.
- Source: The Outlet supplying the product.
- Fulfil: The Outlet responsible for fulfilling the order.
When the selected fulfilment method permits it, use the options in the Source and Fulfil columns to choose the appropriate locations.
Source and fulfilment locations cannot be changed for products using Cash & Carry, because the product is supplied from the Outlet processing the sale.
Once the product information is correct, click Done to save the sale-specific changes and return to the main POS screen.
Removing a Single Product
To remove one product from the sale, click the required product line.
Once the product is selected, the Trash icon in the upper-right corner of the product list becomes active.
Click the Trash icon to remove the selected product.
The product list, item count and sale totals will update automatically.
Removing All Products
To remove every product from the sale, click the Trash icon when no individual product has been selected.
Retail Express will highlight all product lines.
Click the Trash icon again to remove the highlighted products from the sale.
Removing Multiple Products
You can also remove several selected products without removing the entire sale.
Using a mouse, click and drag the pointer across the required product lines to highlight them.
Once the products have been selected, click the Trash icon.
When using a touchscreen device, you may be able to slide your finger across the required product lines to highlight them. Press the Trash icon to remove the selected products.
Any products that were not highlighted will remain in the sale.
