In this video we show you how to create a Layby transaction, also known as a Layaway. This type of transaction is where the customer purchases the product and pays for it incrementally. You retail the product in storage until the order has been paid in full.
This video explains how to create a layby in POS, assign the appropriate fulfilment method, add a customer, accept the required deposit and finalise the transaction. It also explains how layby products affect available and allocated inventory.

Creating a Layby Sale
To create a layby transaction, begin by creating a sale as you normally would.
Add the products the customer wants to purchase to the sale.
Setting Products to Layby and Store Pickup
Change the fulfilment method for the products from Cash & Carry to layby and Store Pickup.
Select the Layby button in the upper-left corner of the Products panel.
All products in the transaction will be updated to use the layby and Store Pickup fulfilment method.
Using Different Fulfilment Methods
A customer may want to place some products on layby while paying for and taking other products immediately.
In this situation, you can change the fulfilment method for each product individually.
For products the customer is taking immediately, change the fulfilment method back to Cash & Carry. Leave the remaining products set to layby and Store Pickup.
How Layby Products Affect Inventory
Products set to Cash & Carry are treated as leaving the premises. Their inventory quantities are reduced when the transaction is processed.
For products placed on layby, the available stock quantity is reduced and the allocated stock quantity is increased.
The products are therefore no longer available for another sale, but remain recorded in the inventory system as allocated to the customer’s layby.
Adding a Customer
Open the Customer tab.
Create a new customer or add an existing customer to the transaction.
Associating the customer with the sale ensures the layby can be located and managed against the correct customer record.
Taking a Payment or Deposit
Open the Payments tab.
Enter the payment or deposit the customer is making toward the layby.
Applying the Minimum Deposit Requirement
Retail Express can be configured to require a minimum deposit for layby transactions, such as 10% or 30% of the layby value.
This setting is configured in the POS settings area.
The minimum amount due is displayed on the Payments screen. It is calculated using only the products that have been assigned to the layby.
Finalising the Layby
After entering the required payment or deposit, select Finalise to complete the transaction.
Provide the customer with a copy of the receipt or invoice. The products remain allocated to the customer until the remaining layby balance is paid and the order is completed.
