A stocktake is a count of the business inventory on hand, typically done at the end of the financial year, though some businesses may do it more regularly.
Having an accurate idea of the number of stock items your business owns allows your accountant to reconcile physical stock to the inventory records, highlight variances, and identify issues with stock management and control.
With accurate knowledge about stock movements and stock on hand, you can make informed decisions about theft, slow-moving items, damaged stock, technology obsolescence and warehouse processes.

Create a Stocktake from the Stocktake Page

In your Maropost Commerce control panel navigate to Stock Control > Stocktake.

If this is your first time, click the Perform first stocktake button. Alternatively, if you're in the Stocktake page click the Add button.

Select the warehouse you wish to create a stocktake for, then enter a stocktake name. Choose either todays date or a date in the future for your stocktake
Tip: You cannot create a stock take with a due date in the past.

Add products to your stock take by typing or scanning the product SKU/Name or UPC.

Continue to do this for all the products that you would like to add to your stock take.

The On Hand QTY will be updated with you current expected stock level for the warehouse chosen. (This will continue to update until you put the stocktake in progress, this allows you to plan stocktakes in advance).

Once you hit save, the stocktake will be put into a pending status ready for you to put it in progress.

Create a Stocktake from the Product Page

In your Maropost Commerce control panel navigate to Products > View products

Filter your product selection to the products that you would like to stocktake, bulk select products and click With selected > Add to new stocktake.

This will load the create stock take page with the products you have selected pre-populated.

Once you hit save, the stocktake will be put into a pending status ready for you to put it in progress
View Stocktakes

In your Maropost Commerce control panel navigate to Stock Control > Stocktake.

From this page you can see all your stocktakes (Pending, in progress and completed)

You can see when the stocktake is due, where a stocktake has been put in progress the start date will be populated.
Edit, Start or Cancel a Stocktake

To view a stocktake,click on the Stocktake ID.

This will show your stocktake in view mode (except when in progress, this will take you to the count page)

When the stocktake is pending, clicking the link will put you on the view screen and you will be able to edit, start or cancel the stocktake.
Process a Stocktake
- Starting a stocktake will lock any products that appear on the stocktake by warehouse. You will not be able to perform any of the following actions for those products:
- Receive purchase order
- Perform a stock adjustment
- Start a stocktake
- Pick orders

Tip: Locking only occurs when the stocktake is in progress, Canceling or completing a stocktake will release the above functionality.

Once a Stocktake has been started, you are able to:

- Print a count sheet
- Enter a counted quantity ( Minimum 1 must be entered)
- Cancel if required
- Save and close to come back to the stock take

Once you're is ready to complete the stocktake, select Review stocktake

The review will display a summary of the changes that are about to occur and the $ cost to the business.

Completing the stocktake will update stock levels and release locking. You will not be able to reactivate a stocktake once complete. Further adjustments should be a stock adjustment or fresh stocktake.
