Custom Order Labels allow merchants to create and classify unique labels for specific order workflows. This enables them to undertake particular tasks on custom-tagged orders, thereby helping them manage such order requests and communicate their statuses with customers in an efficient manner.
Creating a Custom Order Label
Follow the steps shown below to create a new order label:
- To create unique order labels, you must visit Settings & Tools from the Navigation panel and select All Settings & Tools.
- Under the Settings & Tools page, click on Order Labels.
- From the order labels page, click on Add new label to create a new one, or you can select any of the existing labels to modify their names.
- Enter a suitable label name within the given field and click on Save & Close.
You’ve created a new label that can be assigned to your order workflow.
Assigning Custom Order Labels
View the steps shown below to understand how to assign labels to an order:
- Once you’ve created your custom order labels, visit the orders section from the Navigation panel via Sales Order » View Orders.
- You can select the orders one by one from the Label dropdown while assigning labels to an order. Additionally, you can filter orders that have a custom label for your convenience.
- Otherwise, you can select the checkboxes next to the order IDs and use the Bulk Action functionality to assign the labels in one go.
- You can assign only one custom label per order.
- The custom order label does not replace the existing order fulfillment status. It's instead added alongside it.
- Orders with a custom label will not be displayed when filtering order lists using the default order statuses. This helps to exclude orders with a default standard status from a custom one.
- Orders filtered with a custom label typically don't display "Cancelled" or "Dispatched" orders, as they normally don't require any actions from the merchant's standpoint.
Configuring Custom Order Label Settings
By default, the "View Orders" options from the navigation panel open the order list page with "Label: None Applied" as the active filter, excluding any orders with a custom label. You can configure its display properties to suit your workflow; for example, if you use custom labels like "Urgent" to tag orders, you can make such orders appear in your standard list by configuring its custom order label settings.
To configure the Custom Label exclusion filter:
- From the Navigation panel, go to Settings & Tools and select All Settings & Tools.
- Under the Sales Orders & Invoices section, click on Order Processing Rules.
- Scroll to the Custom Order Labels Settings section, and select the checkbox “Exclude orders with a label from View Orders list”. When accessing order lists by status from the View Orders menu in the side navigation, a filter is applied to include only orders without a label. Click or clear this checkbox based on your preference:
On (default): Orders with a custom label are excluded from the standard order status views. This is useful when you use labels to move orders out of the normal fulfillment process.
Off: Orders with a custom label remain visible in the standard order status views. This is recommended if you use labels as tags (e.g., "Urgent") for quick identification without affecting the fulfillment workflow.
- Click Save to apply your changes.
Display Custom Labels to Customers
Follow the steps below to modify your theme templates and showcase custom labels on your customer-facing webstore.
- To access this feature, navigate to Settings & Tools > All Settings & Tools > Sales Orders & Invoices > Order Label. Then, click on an existing order label.
- The Visible to Customer checkbox is enabled by default. This option is a handy tool that helps you control which labels are visible to your customers. You can modify the templates to display these custom order labels by following the instructions in the Add Custom Order Label Support documentation.
