Suppliers in Neto are the businesses you purchase stock from. Adding a supplier stores the supplier's details, along with the tax, pricing, and ordering conditions that apply when you create purchase orders.
Setting up suppliers is a two-stage process. First, you create the supplier. Then, you assign the supplier to your products.
You can create a supplier from the Neto control panel or from a purchase order. You can also flag a supplier whose pricing includes GST (Goods and Services Tax), set ordering rules, and assign a supplier to products individually or in bulk. A Primary Supplier is the supplier assigned to a product on its Warehouse & Picking tab.
Add Suppliers in Neto
Creating a supplier stores the supplier's details in one place, so you can select the supplier when you create purchase orders and assign products. Complete this step before you assign suppliers to products.
To create a new supplier and insert its details:
1. In your Neto control panel, navigate to Stock Control > Suppliers.
2. Click Add Supplier at the bottom right.
3. Fill in the supplier's details and click Save.
4. By default, Neto assumes all supplier pricing excludes GST. If your supplier sends invoices with GST-inclusive pricing, enable the "Supplier prices are GST inclusive" toggle under the supplier's business details.
Important: Ensure you add both a billing and a shipping address for each supplier. The address is used during purchase order creation to determine whether tax applies, and the shipping address doubles as the supplier's return address for RMAs.
Working with GST-Inclusive Suppliers
GST (Goods and Services Tax) is the tax applied to the price of goods. Some suppliers include GST in the prices shown on their invoices. If you enable the supplier prices are GST inclusive toggle for a supplier, Neto changes how pricing, the tax field, and totals behave on that supplier's purchase orders.
Once a supplier is flagged as GST-inclusive, you can enter pricing on a purchase order exactly as it appears on their invoice.
The tax field can't be adjusted on lines for that supplier, since tax is already built into the price. Your default purchase price should still be entered exclusive of GST, and Neto continues to calculate and store the cost price on a GST-exclusive basis.
When receiving the purchase order, the subtotal and grand total match, as GST is already included in the pricing.
Supplier Ordering Rules
If your supplier has certain conditions you must meet to place a purchase order, such as a minimum order value or a free shipping threshold, you can set these under Ordering rules & thresholds and Shipping & freight thresholds on the supplier page.
By default, these rules are checked whenever a purchase order is approved. Any failed rule is flagged as a warning for your review, but you can still approve the order if you choose to proceed anyway.
If you'd prefer a failed rule to block approval outright, change the Enforce mode to Block under Ordering rules & thresholds. With this setting, the purchase order must be corrected, and all rules must pass before it can be approved.
If you have additional supplier information that doesn't fit into a single note, you can now record it under Operational information on the supplier page. Likewise, you can view supplier rules and notes from the Purchase Order details section on the purchase order (PO) screen.
Note: Ordering rules are only checked at the point of purchase order approval. If you edit a purchase order after it has already been approved, the rules won’t be re-validated.
Add Suppliers in Purchase Orders
If a supplier does not exist in Neto when you create a purchase order, you can add the supplier without leaving the purchase order screen. Use this method when you need the supplier immediately and have not yet created it from Stock Control > Suppliers.
Suppliers can also be created on the fly when creating a purchase order. When creating a purchase order, select the Suppliers drop-down menu and click + Add New Supplier.
Assign Suppliers to Products
Suppliers that are created in Neto can be assigned to products individually or in bulk. To assign them to products individually:
1. In your Neto control panel, navigate to Products > View Products.
2. Click on the product you wish to add a supplier to and choose the Warehouse & Picking tab on the left-hand side menu. Select your Primary Supplier and click Save.
Repeat these steps for any other products.
Assign Suppliers to Products in Bulk
Bulk assignment updates the supplier details for many products in a single import. You export your products to a CSV (comma-separated values) file, add the supplier identifier to each product row, and import the file using the export and import wizards.
1. In your Neto control panel, navigate to Products > View Products.
2. From the top right-hand side, click the Export button > select the CSV file with all fields option and choose Preview.
3. View the columns you wish to ship to the CSV file and click the Export button.
4. Once the CSV file has been generated, download the file to your device.
5. Open the CSV file and fill out the Primary Supplier column with the supplier ID (not the name), which helps identify a supplier.
6. Once you've completed the CSV file, save and close and use the Product Import Wizard to update your products in bulk.
