Email Templates control the content and design of system-generated emails sent for key notification events such as order confirmations, password resets, exports, and failure alerts. These emails are triggered automatically by the system based on specific actions or outcomes.
From a business perspective, Email Templates act as a critical communication layer between your store and its customers or internal users. Clear, consistent templates help recipients understand what happened, what to do next, and what to expect — without requiring manual follow-up.
To access
- Go to Settings.
- Select Email Templates.
At the top of the page, you can see your Store Selector (store name). Use this to choose which store you are configuring (for example, Women’s Paradise).
Each store maintains its own Email Templates. This allows you to keep store-specific branding and messaging consistent for the emails triggered from that store.
How It Works
Email Templates are tied directly to Notification Events. A notification event represents a specific system action that triggers an email automatically.
When a system event occurs, the platform uses the template linked to that event to generate the email content and send it to the appropriate recipient. This ensures that recurring operational emails follow a consistent structure and are sent reliably without requiring manual effort.
On the Email Templates page, you will see a list of notification event names. Examples include:
- Export
- Reset Password
- Order Code
- Batch Job
- Failure Alert
Each notification event has a predefined email template. You can edit these templates to adjust how the email looks and reads for your store.
Note: Editing a template changes the email presentation (content and design). It does not change what triggers the email.
Why and When to Edit Email Templates
Editing Email Templates is most valuable when you want to improve how information is presented — not how the system behaves. This helps you make updates with a clear goal: adjust the message and design so recipients can understand and act on the email more easily.
You typically consider editing templates when you need to:
- Update the structure or messaging so recipients can quickly understand the purpose of the email
- Adjust layout or branding so system emails match how your store communicates
- Add or reorganise content blocks so important information is easier to scan
- Add tracking parameters to links (when measurement is required)
You typically avoid changing templates when your goal is to alter system behaviour (for example, changing when emails are sent or what triggers them), because triggers are tied to the system event, not the template.
Edit an Email Template
On the Email Templates page:
- Find the notification event you want to update (for example, Order Code).
- Click the three-dot menu, then select Edit Template.
Understand the Editor Layout
On the Edit Template page, you work across three main areas:
- Content — Update the email body structure and design
- Advanced — Configure content fields and tracking behavior for links
- Custom Row Categories — Add custom row categories that appear in the editor
This hierarchy helps you make changes in a controlled way: you update the email layout and styling in Content, apply reusable content and tracking in Advanced, and organize layout building blocks using Custom Row Categories.
Content Tab
Within Content, there are three sections you can work in:
This structure separates what the email contains (Content), how it is arranged (Rows), and how it looks overall (Settings).
Content
The Content section is where you build the structure of the email using content elements such as:
- Title
- Paragraph
- List
- Image
- Button
- Divider
- Spacer
- Video
- Text
- Menu
This is where you shape how recipients consume information. Well-organised content blocks help key messages stand out and reduce the chance of recipients missing important details.
Rows
The Rows section controls how content is grouped and placed.
Here, you can create different row placeholders and control whether a row is Empty or Default. Rows allow you to separate parts of the email into clearer sections so the email is easier to scan.
Settings
The Settings section controls design settings that apply across the email, such as:
- Content area width
- Content area alignment
- Background color
- Content area background color
These settings affect how consistent and readable your emails look. Design consistency helps recipients quickly recognize your store’s emails and reduces confusion caused by inconsistent layouts.
Advanced Tab
Within Advanced, there are two key areas:
- Content Fields
- Web Analytics Query Parameters
Content Fields
In Content Fields, you can choose a content field to use reusable email content associated with a structured data file. This helps you apply specific content consistently when required.

Note: Use Subject and Pre-header to clarify what the email is about before the recipient opens it.
Web Analytics Query Parameters
In Web Analytics Query Parameters, you can set name and value pairs that will be appended as query string parameters to the end of all website link URLs in the email content.
This is useful when you need to measure how recipients engage with links inside emails.

Note: These parameters apply only to website links included in the email content.
Custom Row Categories
In Custom Row Categories, you can add custom row categories. These categories display on the other side of the screen and help organise the available row options while editing templates.
This is useful when you want to group layout building blocks in a way that supports faster and more consistent template updates.
Save Changes
After making updates in Content, Advanced, or Custom Row Categories:
- Click Save.
Once you save, the updated Email Template takes effect and is used for future emails triggered by that notification event.
Note: Saving updates changes the template going forward and does not affect emails that were already sent.
